Special drive for digitization of birth & death certificates at NCS

DIMAPUR: Economics & Statistics Department has informed that a special on site drive for digitization of manual birth and death certificates of officers and staff of the Nagaland Civil Secretariat (NCS), Kohima will be conducted from June 2 to 4, between 11 a.m. and 4 p.m. at the Secretariat lobby.
The initiative is part of the government’s effort towards seamless digital governance and aims to create a secure digital database of legacy records. The department is striving to achieve 100% digitization of old birth and death certificates across the state. Officers and staff, including their spouses and children, have been encouraged to avail the opportunity.
The drive will also facilitate normal registration, delayed registration and correction of details in certificates for events occurring within Kohima Sadar. Assistance for public login services will be available for all districts.
For digitization of old certificates, original birth and death certificates are required. In cases where originals are unavailable, HSLC admit cards may be used as proof. For normal registration, births and deaths reported within 21 days from the date of occurrence will require only proof of the event. Registrations beyond 21 days will be treated as delayed and will require permission or orders from competent authorities along with supporting documents.
Events registered between 21 and 30 days will require permission from the registrar and proof of occurrence. Registrations after 30 days but within one year will require written permission from the district registrar, self attested documents, a declaration in Form No. 14, and proof of occurrence. Registrations after one year will require an order issued by the deputy commissioner or an authorized officer, along with proof of occurrence.
Proof of birth may include hospital discharge slips, vaccination cards, certification by village councils or colony chairmen, HSLC admit cards or Aadhaar cards. Proof of death may be obtained from village council certification or medical cause of death certificates. For corrections in names and other details, valid IDs such as HSLC admit card, Aadhaar, PAN or government ID will be required.
The department has urged all officers and staff to extend cooperation and ensure participation in the drive, which is part of the government’s effort to achieve 100% digitization of legacy records and strengthen digital governance.
